Vacancy Announcement – Job Opportunities

FERWAFA would like to request interested people to apply for the below-listed positions by fulfilling the respective mentioned requirements:

Receptionist and customer care

Report to: The Director of Administration and Finance

Role: To ensure proactive good care and treatment of customers, visitors, and guests in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the quality of customer care and service delivery.

He (She) is specifically responsible for:

Tasks

1.      Receive, record and distribute all incoming and outgoing emails

  • Receive and check incoming and outgoing emails ;
  • Record incoming and outgoing emails;
  • Ensure timely distribution of all Incoming/outgoing mail’s
  • Facilitate FERWAFA staff to access documents;
  • Regularly check and dispatch emails received on FERWAFA email;
  • Ensure the security of FERWAFA correspondences and reception stamp;

2.      Establish and maintain the general filing system and file all correspondences

  • Maintain a current and accurate filing system;
  • Ensure the timely filing of documents;
  • Classify and archive all the documents sent and received in a secure place; initiate modern computer tools for correspondence and correspondence management;

3.      Receive and provide clear guidance and orientation to FERWAFA clients/visitors

  • Receive and answer telephone calls and orient them accordingly;
  • Receive FERWAFA clients/visitors and provide orientation.

4.      Produce a report of activities

  • Produce monthly, quarterly and annual report of activities
  • Perform any other duties related to football that might be assigned to him/her

 

SELECTION CRITERIA

The candidate will:

  • Have a bachelor’s degree in Office management, Secretariat, Hospitality, Management, with 1 Year proven experience as a receptionist or customer care position;Be proficient in the use of MS Office suite, especially PowerPoint, Excel, and Word;
  • Have excellent verbal, written and presentation skills in English, French, and Kinyarwanda (any other language being a plus);
  • The candidate should be available to start immediately upon confirmation of his recruitment and contract terms finalization.

Application letter for any of these positions addressed to the Secretary-General of FERWAFA should be accompanied by, detailed curriculum vitae, a copy of academic degree, and a copy of Rwandan National Identity Card or a copy of valid Rwandan Passport should be deposited at the reception office of FERWAFA not later than 24th October 2018 at 12:00 AM.
